How money comes in

Guests book through Airbnb, VRBO, or direct. All three feed into Hospitable (our channel manager), which keeps calendars/pricing in sync and handles guest messaging. Payouts land in the JRD Rentals checking account and are reconciled into QuickBooks.

Daily Operations

The turnover loop (every checkout → check-in)

  • Bookings & calendars are managed in Hospitable — it pushes the cleaning schedule.
  • Guests are asked to load & start the dishwasher at checkout so the cleaner just empties it.
  • Cleaner turns the unit, restocks consumables, and flags anything broken/missing.
  • Log issues + assign work on the Admin dashboard Property Tasks (assign to Doug or Staff). Inventory & household supplies are tracked there too.
  • Check-in 4:00 PM / Check-out 10:00 AM (standard for Fox Creek; confirm Morganton per listing).

Guest communication

  • An AI assistant — "Eye of Ra" — monitors and answers guest messages automatically, pulling from each property's knowledge base. Watch for anything it escalates / can't answer.
  • Guest-facing instructions live in the TouchStay guidebooks (links on each house below) and on the public property pages.
  • WiFi passwords & door codes are sent in the check-in message — never posted publicly.

Water — cistern properties (important)

6260 & 6280 run on rainwater collection (cisterns), not city/well water. Levels are monitored live on the Admin dashboard. Watch them in dry spells — conserve and arrange a water delivery before they run low.

Water — Fox Creek cabins (spring-fed)

All 3 Fox Creek cabins run on spring water (not city/well). The spring is at the far end of the 4th lot, piped to a visible holding tank on the first lot, then under the driveway to the original holding tank beside the well. Has always provided plenty of water. Main filters are on fc2's back porch. For spring or water-line problems, call Jimmy Collins (828-736-8303) — he installed the connection; Greene Bros likely won't service it.

Seasonal

  • 6913 outdoor bathroom: winterize late Oct–Nov, reopen April.
  • Steep/gated drives (6834) get dicey in snow/ice — warn guests; AWD/4WD recommended.
  • Keep spare propane tanks for grills (especially 6834 — only one tank on hand).

Smart-lock note: 6913 uses the Schlage app, NOT SmartThings. 6260 is Schlage Z-Wave via an Aeotec hub. Fox Creek cabins are Kwikset keypads (push the quickset button to lock — it beeps orange twice). 6280 has a standalone keypad lock (code 1256) — not integrated with Seam.

Troubleshooting Quick-Reference
